Courier services
During office hours, contact the Administration Team to send documents nationally and internationally as you may require. You will need to provide the client/matter number, so the cost can be added to that file. If you need a courier out of hours, then you will need to follow the guidance below.
To send a London centric courier out of hours, you should contact Absolutely Couriers or Addison Lee. We offer you a choice, given out of hours bookings tend to be very urgent and you'll need a back-up option if the first company you call cannot assist within the relevant time frame. You should only book an urgent direct courier, anything else can wait until the office reopens and be done by the Administration Team. When booking a courier, you must:
- State you are calling from Keystone Law and want to make an account booking.
- State the account number.
- State our client and matter reference (they may refer to this as a "cost code" or "cost centre").
- State the collection address as well as a name and contact number (this must be someone who will be on hand to assist the courier) for that address.
- State the delivery address as well as a name and contact number (this must be someone who will be on hand to assist the courier) for that address.
- State the size of the package or what it is e.g. A4 letter, banker's box etc.
- State that the delivery needs to be direct.
- Ask for the price and note this down.
- Ask for the booking reference number and note this down.
- Ask for a copy of the confirmation email (it will be sent to the Administration Team otherwise, who of course is not at work).
- Email the Administration Team giving a description of what you have sent, the collection and delivery addresses, the booking reference, the client/matter reference and the price quoted.
The Administration Team will follow up once back in the office to check the item was delivered and has been charged to the right file.
When the courier comes to pick up the package, you should (or if pick-up is at another location, then the relevant other person should) ask the courier to confirm which company he works for and the delivery address of the package. This avoids a mix up in giving the package to the wrong person or a fraudster.

For international couriers and long-distance couriers, we use DHL. To make a booking follow this process.
- Call DHL on 0844 248 0844.
- Say "quote" to speak with an agent.
- State you want to book a courier on Keystone Law's account.
- State our account number of 139 396 948.
- State the weight of the package.
- As with London centric couriers, you'll need to be clear that DHL should send the details to you as well as the Administration Team.
- Then, follow the process above for local couriers, though noting DHL will require less information over the phone. Instead, and to reduce error, DHL will ask you to specify your requirements in a "Way Bill". DHL will email you a link. Once you have completed this, it will generate a label. Hint: Courier costs within towns and cities (incl. London) are very reasonable, but these can escalate to hundreds of pounds for same-day deliveries over greater distances.
