Destruction of files

The IT Team can securely destroy unwanted digital files, USB drives, DVDs, hard drives and lap tops. Do not dispose of any Keystone or client data yourself.

Usually you would shred your paper files as you go along. But if there is just too much for you to shred yourself, then ask the Administration Team to arrange for one of our suppliers to collect your bulk shredding and we will arrange for it to be shredded on your behalf.

Naturally, only copies should be destroyed, we must always retain a copy of every document provided to us in accordance with our Information Retention Policy. Typically, we also have digital copies of hard copy documents and spare copies of physical documents can be destroyed. We would not destroy digital files, other than at the end of the data retention period, but if there is just too much to continue to store on our servers, then the IT Team can make copies onto portable drives as needs be.
