You should open a new matter and issue a new Engagement Letter for every instruction. Each client/matter is allocated a unique reference number (the client/matter number') although, in appropriate circumstances, you may set up a general Periodic Retainer (guidance on Periodic Retainers is set out below) to cover small miscellaneous instructions that arise on an ad-hoc basis.
For further guidance, see our Engagement Letters: Top Tips to Avoid Trouble.
Central Office automatically conducts a Conflict Check (using the information you give them in the relevant section of the New Matter Form) when you open a new matter. You should ensure you include the names of all parties to the matter. The Clients Team will let you know by email quickly if the check is clear. In the unlikely event of a potential conflict, a member of the Clients Team will contact you. For further details, see conflict clearance.
AML requirements are discussed in Part 4 below.
Hint: See the number of new matters and new clients in real time in the Pipeline. Hint: Use the Matter Inception Checklist to ensure all key actions are addressed.
